Stories are preserved using the three-copy archival rule, ensuring files exist in multiple secure locations.

The archive uses encrypted cloud storage systems designed for reliability, security, and long-term digital preservation.

Best Practices for Digital Storage Systems & records

Three copies of every story

  • Primary Archive 
    • The main digital repository 
    • Where files live and are organized
       
  • Backup Archive 
    • Stored in a separate cloud region 
    • Protects against system failure
       
  • Cold Storage Archive 
    • Long-term storage designed for preservation 
    • Used by institutions like NASA and libraries
       

Example structure:

Primary → Cloud storage server
Backup → Separate cloud region
Cold Storage → archival system like Glacier


This protects against:

• accidental deletion
• ransomware
• natural disasters
• hardware failure


Best practice is using infrastructure such as:

• Amazon Web Services (AWS)
• Google Cloud Platform
• Microsoft Azure


These provide:

• encrypted storage
• geographic redundancy
• disaster recovery
• compliance with government security standards


Important security layers include:

  • Encryption at Rest
    Files are encrypted while stored.
  • Encryption in Transit
    Files are encrypted while being uploaded or downloaded.
  • Access Authentication
    Only authorized administrators can access archives.


Raw files alone are not archives. Each story should have metadata — information about the file.


For Life2Media, metadata should include:

  • Contributor name
  • Date recorded
  • Location
  • Program (Youth Reflection, Oral History, Civic Story)
  • Keywords / themes
  • Consent documentation
  • Usage permissions

  • Contributor: Maria Hernandez
  • Recorded: March 2026

  • Program: Community Oral History
  • Keywords: immigration, family, resilience


Metadata allows future generations to find and understand stories. Without metadata, archives become digital clutter.


Not all file types age well. Archives choose open, durable formats.


Best practice formats:

  • Video → MP4 (H.264 or H.265)
  • Audio → WAV or FLAC
  • Documents → PDF/A
  • Images → TIFF or PNG


Avoid formats that become obsolete.


Stories must remain unchanged over time. 


Archives protect this through:


Checksums - A checksum is a digital fingerprint of a file. If a file changes, the checksum changes. This confirms the story remains authentic and unaltered.


Universities and museums use this method to verify integrity.


Not every story should be publicly accessible.


Best practice archives include access tiers:

  • Private - Only the contributor or family can view.
  • Community - Accessible to the program or local community.
  • Public - Accessible to anyone.


This is especially important for:

  • youth reflections
  • sensitive personal stories
  • school programs


Stories are human contributions, not just content.


Best practice includes:

• signed digital consent forms
• parental consent for minors
• contributor rights documentation
• clear usage permissions


Stories are shared voluntarily and ethically.


Digital archives must survive 50–100 years.


Best practices include:

• regular backup verification
• format migration when technology changes
• system security audits
• documented archival policies
